Configure listing claims, roles and ownership

Let legitimate owners claim and manage listings while reviewers keep control of evidence, approvals and editing permissions.

Give the right person access to the right listing

Moderated claims, messages, organiser profiles, organiser verification, privacy controls and standard roles are included in Free. A signed-in user can request an eligible listing, explain their connection and wait for a reviewer’s decision. Pro adds invitations and scoped owner, editor, app-moderator and support roles, website and Event Web App collaboration permissions, and organiser analytics.

Require approval on a public directory

A claim changes who can edit public information. Ask for suitable evidence, review it consistently and record the reason for approval or rejection before access changes.

Eligibility

A claim needs global permission and an eligible listing

Enable Claim Listings under Settings → Submissions → Access & Roles and publish a page with [nexdirectory_claim_listing]. Connect its route URL so listing calls to action can add the required event_id query value.

Mark only administrator-created, imported or otherwise unowned listings as claimable. Listings that already have a legitimate owner should not display the claim action. After approval, confirm that the action disappears and the new owner can reach the listing from their dashboard.

Review

Moderate evidence and communicate the decision

The claimant must be logged in, cannot already own the listing, and cannot create a second held claim for the same listing. They may submit a reason. With approval enabled, the site emails the administrator and places the request in the claim section of the Moderation Queue.

Moderators can approve or reject. A professional rejection reason helps the claimant understand what evidence is missing. Approval transfers editing control to the claimant; rejection leaves the current ownership unchanged. Check the member dashboard and essential email after both decisions.

Roles and teams

Give people the smallest access they need

Free roles cover contributors, listing owners, editors and administrators. Give contributors access to their own records and give moderation access only to people responsible for reviewing others’ work.

Use Pro teams when several people must work on one organiser, listing or Event Web App. Invitations, scoped collaboration roles and organiser analytics are Pro; organiser verification remains Free.

Launch a claim process owners can trust

Enable claims with approval

Turn on Claim Listings and Require Admin Approval under Access & Roles. Write a short evidence policy reviewers can apply consistently.

Connect the claim page

Publish a Page with [nexdirectory_claim_listing], set the Claim Listing Page URL and open it from a claimable listing while signed out and signed in.

Review listing eligibility

Mark suitable administrator-created or imported records as claimable. Remove the action from records that already have a verified owner.

Assign reviewers, not extra administrators

Give claim moderation to the editors responsible for ownership checks. Use Pro invitations and scoped collaboration roles when several people share responsibility.

Test approval and rejection

Submit two test claims, reject one with a useful reason and approve the other. Confirm the emails, dashboard ownership, editing access and disappearance of the claim action.

Questions you may have

What changes when a claim is approved?

The claimant becomes the listing owner, gains the permitted editing route in their dashboard and can no longer submit another claim for that listing.

Can a visitor claim a listing without logging in?

No. The claim form and handler require a logged-in user and redirect guests to the Login / Sign Up route.

What happens if approval is disabled?

A valid claim can transfer ownership immediately. Keep approval enabled on public sites unless identity and ownership are already established through a controlled process.

Do editors automatically have claim moderation access?

Only give editors claim moderation when it is part of their job. Test with an editor account so they can review claims without gaining unnecessary administrator access.

When do I need Pro teams?

Use Pro when several people need invitations and scoped owner, editor, app-moderator or support permissions for a website or Event Web App. Organiser verification remains Free.
